As a small and volunteer-led organization, all roles at BlackHRPC are hybrid i.e. mostly remote with occasional in-person work requirements. Positions operate within a highly autonomous and mission-driven environment requiring agility, initiative and resourcefulness. Individuals use their own computer equipment and tools and have flexibility to set their own hours to fulfill BlackHRPC objectives. All jobs require self-motivation, solid time management and professional communication skills along with keen understanding of Black lived experience.

Internship Term: June 15 to Aug 15, 2026, Full-time 35 hours per week for 8 weeks.

Pay: $17.60 per hour. The job is funded by the government’s Canada Summer job program and is only for youth 15-30 years old.

Job Summary

Provides comprehensive administrative, operational, and customer service support to internal and external stakeholders within a small, volunteer‑led network. Ensures smooth coordination of communications, events, programs, and organizational systems.

Key Responsibilities

Administrative & Operational Support

  • Deliver full administrative services including research, scheduling, agenda preparation, and minute‑taking for board members and volunteers.
  • Maintain organized, accessible filing systems and ensure accurate information management. Support the Board Treasurer with finance administrative support tasks.
  • Serve as the primary point of contact for the public, members, volunteers, partners, and the Board, ensuring timely and professional responses.
  • Manage and update organizational documents, including administrative manuals, volunteer handbooks, and student/employee onboarding materials.
  • Prepare presentations, reports, documents, lists, and logs as required.

Communications & Member Engagement

  • Coordinate communications with clients, partners, members, and volunteers via email and phone
  • Support partnership and membership campaigns, renewals, and engagement initiatives.
  • Draft HR‑related articles, partnership kits, sponsor kits and updates for the website and social media.
  • Oversee volunteer coordination, orientation, and engagement activities.

Website & Technology Administration

  • Update website content, events, volunteer postings, and job postings.
  • Troubleshoot technical issues in collaboration with the web developer.
  • Maintain and update multiple spreadsheets and tracking tools.

Event & Program Coordination

  • Support event planning, promotion, and logistics, including poster and presentation creation using branded templates.
  • Coordinate communications with members, speakers, facilitators, and participants.
  • Assist with HR conference planning, mentorship program coordination, and work‑readiness program development.
  • Track and log data for all events and programs.

Grants, Sponsorship & Budget Administration

  • Support grant application, coordination, sponsorship package administration, and reporting.
  • Assist with annual budget development and purchasing processes under Board direction.
  • Manage vendor and facilitator sourcing, confirmations, invoicing, and administrative follow‑up.

Research & Content Development

  • Conduct research on HR topics, workforce statistics, and issues affecting the Black community.
  • Develop culturally appropriate mental health and anti‑Black racism program materials.
  • Compile data and prepare reports related to HR trends and community needs.

Requirements:

To be eligible for Canada Summer Jobs, participants must:

  • be between 15 and 30 years old at the start of their summer job
  • be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the job and
  • be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
    • This includes having a valid Social Insurance Number at the start of their summer job

Note: As per Service Canada, International Summer Students are in Canada on a temporary basis and are not eligible.

  • Demonstrated understanding and support of Anti-Black Racism and experience serving the Black community.
  • Proficient in Microsoft Office Suite (Word, Excel, Power Point, etc.), Google Suite etc.
  • Some experience in administrative, coordination and office related work.
  • Some experience supporting not-for-profit teams, customer service, and meetings/conference event management is helpful.
  • Customer service excellence mindset. Enthusiastic, able to follow directions and work independently with limited supervision. Self-starter mindset, entrepreneurial spirit, and ability to move quickly to action and solutions. Creative and innovative thinker, organized, detail-oriented, team player and solution-oriented. Maintains communication protocols with team members and leaders. Impeccable attention to detail and analytic skills with a proven ability to multi-task and manage complexity.
